Guide
The new office IT checklist.
An office move goes wrong in the IT more often than anywhere else: the fibre isn't connected, the Wi-Fi doesn't reach the back room, or the printer only works for one person. This checklist is the order we work in for a move, planned backwards from the day you walk in.
Updated
Before you sign the lease
A few questions about the building save weeks later.
- Is fibre already connected to the building, and to your floor?
- Is there data cabling to the desks, and where does it end up?
- Is there somewhere sensible for the network cabinet, with power and some airflow?
- Does mobile coverage work inside, for phones and as a backup connection?
Six to eight weeks before
- Order fibre at the new address and confirm the install date
- Check the data cabling and power for desks, printers and the network cabinet
- List every person, device and printer that is moving
- Decide what to replace rather than move
Two to four weeks before
- Design the Wi-Fi from the floor plan, with separate staff and guest networks
- Order network equipment, laptops and screens
- Arrange to move your phone numbers if you have landlines
- Set up and test new devices before they reach the office
Moving week
- Install and test the network and internet connection
- Set up printers, scanners and meeting room screens
- Test every desk: sign in, print, open shared files and join a call
- Check that backups ran after the move
First week in
- Walk the office for Wi-Fi dead spots
- Fix the small things staff report
- Hand over the documentation and the admin access
The most common mistakes
- Ordering fibre too late. It is the slowest part of every move.
- Reusing an old consumer router. It is the cheapest thing to replace and the most common cause of problems.
- One Wi-Fi network for everyone. Guests, staff and devices like printers and cameras should be kept separate.
- No backup connection. A 4G or 5G router keeps the office working when the fibre drops.
- Nobody owning the admin passwords. Make sure the business holds them, not a former staff member or the installer.
What it costs
For an office of up to 10 people, a managed setup with us starts from $2,500 before hardware, and is quoted as a fixed price after a site visit. Hardware is quoted separately, so you can see what you are paying for.
